To support our Events team we are searching for a Senior Events Operations & Projects Manager (f/m/d) to be based in our Munich office.
WHAT YOU WILL DO
- Own and manage the full project lifecycle of global events and long-lead activations — from initial planning to on-site execution and post-event debrief, developing and maintaining comprehensive project timelines across multiple simultaneous events to ensure all stakeholders are aligned on milestones and deliverables
- Oversee budgets with precision, including cost forecasts, supplier agreements, purchase orders, and on-time invoice management, while supporting and mentoring junior team members in budget management, supplier coordination, documentation, and process planning
- Act as the first point of review for all internal event decks and presentations, proofreading for accuracy, brand alignment, and consistency before sharing with the Head of Events or senior leadership, and providing leadership with clear overviews of all active projects by consolidating timelines, budgets, key risks, and next steps
- Lead internal project meetings, assigning responsibilities, tracking progress, and ensuring deadlines are met across Senior Event Managers, junior team members, and cross-functional departments, while ensuring structured communication and information flow, providing clear project updates, and proactively flagging delays, risks, or budget deviations
- Coordinate operational and logistics elements of events, including shipping of materials and products, customs, deliveries, gifting, set-up logistics, and guest travel arrangements — resolving challenges together with internal logistics teams and external partners.
- Manage complex, long-lead projects and seasonal activations (e.g., pop-ups running 3–6 weeks or winter destinations spanning 4–5 months), ensuring structure, timeline discipline, and premium delivery standards
- Collaborate closely with PR, Marketing, Creative, Buying, Logistics, Finance, and external suppliers to deliver seamless and premium event experiences, while ensuring documentation and processes are accurate and maintained, including timelines, budgets, contacts, reports, and post-event recaps
WHO YOU ARE
- Several years of experience in luxury fashion, agency, lifestyle, or related industries with a strong focus on project management and global event execution
- Proven ability to manage multiple complex timelines, budgets, and cross-functional teams simultaneously, with strong expertise in budget tracking, supplier negotiation, financial reconciliation, and invoicing processes
- Exceptional attention to detail, particularly when proofreading presentations, budgets, and project materials
- Confident in communicating with and presenting to senior stakeholders, partners, and suppliers, with experience in leading, guiding, or mentoring junior team members
- Strong problem-solving skills, with experience handling logistics, shipping coordination, customs, or delivery-related challenges in event or retail environments
- Highly organized, proactive, and able to maintain structure in a fast-paced international setting
- Fluent in English; German or additional languages are an advantage, with willingness to travel internationally and support on-site event execution when required
